Safeguarding Policy

Last reviewed: 5 October 2026 ยท Draft pending trustee/approved safeguarding lead approval

Our commitment

The welfare of children and vulnerable people is paramount. Everyone who represents Christmas Toy Drive โ€” trustees, coordinators, volunteers and drivers โ€” shares responsibility for keeping people safe.

Safer recruitment

Volunteers and staff in roles involving contact with children or families are subject to appropriate checks and references as required by law and our procedures. The platform records role assignments so the safeguarding lead can audit who has access to sensitive information.

Data isolation

Referral and family-support data is held in a restricted domain within our database, accessible only to authorised roles. Child information is stored as anonymised age groups and needs โ€” no publicly queryable child data exists. Exports of referral data are permission-restricted and audited.

What to do if you have a concern

If you believe a child or vulnerable person is at immediate risk, contact the police on 999. For non-urgent safeguarding concerns related to the Toy Drive, contact our Safeguarding Lead via the Contact page. We will take every concern seriously, record it securely, and act.

Photographs & media

We obtain consent before publishing photographs of identifiable individuals, and we never publish images of children in a way that identifies them or their location without explicit, appropriate consent.

Note: This factual draft reflects how the platform isolates and restricts sensitive data. A full safeguarding policy must be approved by the trustees and the designated safeguarding lead before launch, in line with current safeguarding guidance.
